WHEN YOU SUBSCRIBE TO THE FCS EMAIL NEWSLETTER

We use MailerLite to manage our email subscriber list and to send our email newsletter and marketing emails to our subscribers. We have a Data Processing Agreement with MailerLite to help ensure your data is protected. MailerLite is a third-party provider, which may process your data using industry-standard technologies to help us monitor and improve our newsletter. MailerLite also enables us to create automated email sequences to provide you with the most relevant news, offers, and announcements based on your preferences, such as the links you click within our emails. It is extremely unlikely these automated emails would have any legal or similarly significantly effect on you.

We only ever process and/or retain the data when you give us explicit and active consent to do so (by subscribing). We keep a record of this consent. We will only retain the data for as long as necessary to provide you with our subscriber emails, whilst you are subscribed – we may then anonymise the data (remove any personal identifying data) and retain it indefinitely for business improvement/development purposes. When you connect (e.g. comment, like, react, follow, share) with us via social media, our podcast, or Pinterest, or leave a rating or review on our podcast, we do not process or retain your data outside of the site/app but your data may be stored indefinitely within the site/app. When you contact us via direct messaging – we only collect and process the data you knowingly provide us with (such as your name, social media/Pinterest account name, email address, phone/mobile number, and message). WHEN YOU PROVIDE DATA FOR AN FCS BLOG FEATURE OR PODCAST EPISODE

We collect, process, retain, and share your data (such as name, social media account name, business name, website address, content, and media) to create our FCS blog features, podcast episodes, and social media, email list, and Pinterest content. We may also collect, process, and retain your email address and postal address to facilitate the creation of the feature/episode or promotional content – but we will never share your email address or postal address unless otherwise agreed.

We only ever collect, process, retain and share the data when you give us explicit and active consent to do so (by sending/providing us the data). We keep a record of this consent. We may retain your data indefinitely (for as long as the blog post/podcast episode and/or social media/Pinterest content is live) – we may then anonymise the data (remove any personal identifying data) and retain it indefinitely for business improvement/development purposes. WHEN YOU PLACE AN ORDER THROUGH OUR FOR CREATIVES’ SAKE WEBSITE SHOP

All payments via the site shop are made through the Stripe payment facility. Please see their website for more information on how they collect, process and retain your data (https://stripe.com/gb/privacy). We have access to your name, billing address, delivery/shipping details, and IP address. We only use this data to fulfil the order and keep a record of the transaction and delivery. We may retain this data for 6 years after the contract is complete or deemed void – we may then anonymise the data (remove any personal identifying data) and retain it indefinitely for business improvement/development purposes. We do not have access to your payment details such as card number.

There may be times when you need to give us another person’s personal data (such as a name and delivery address other than your own). It would be disproportionate for us to verify this data or inform the subject of our privacy policy and therefore you must ensure you have their permission to give us their information – it is then reasonable for them to expect us to use their information for an intended obvious purpose and up to them to look for the privacy notice on our website (www.forcreativessake.co.uk/privacy-policy).

Our legal basis for collecting, processing, and retaining data when you place an order through the For Creatives’ Sake website shop is our legitimate interests and contract purposes. We also have a legal obligation to collect, process, and retain data for transactional reasons and financial records.

WHEN YOU CANCEL A CONTRACT/ORDER

We use cancellation forms and records to collect, process, and retain data (such as name, address, and signature) when you cancel a Contract/Order. We only use this data to keep a record of cancellation – and not for marketing purposes. We only ever process, share (on our website, social media, and promotional material), and/or retain your testimonial/review and any photos/videos when you give us explicit and active consent to do so. We will retain this data for 6 years after the online event has taken place – we may then anonymise the data (remove any personal identifying data) and retain it indefinitely for business improvement/development purposes.

WHEN YOU MAKE A COMPLAINT TO FCS

We collect, process and retain your data (such as name, address, and opinion/complaint) via email, post, phone, text, or social media contact, when you make a complaint. We only use this data to keep a record of your complaint, correspond with you regarding your complaint, and hopefully resolve your complaint. We will retain this data for 6 years after the complaint has been received – we may then anonymise the data (remove any personal identifying data) and retain it indefinitely for business improvement/development purposes.

YOUR DATA PROTECTION RIGHTS

The GDPR give individuals rights in regard to their data. HOW WE PROTECT YOUR DATA

We take reasonable measures to ensure the security of any and all information we have about you, including paper files and backup storage. We use password protected email, website databases, computers, and mobile devices. We also use two-factor authentication to access our website back-end.
